Refund, Cancellation & Billing Policy

This Policy is part of the QuantKey Terms of Service. Capitalized terms not defined here have the meanings in the Terms.


1) Scope

This Policy applies to all purchases of QuantKey subscriptions, add‑ons, and usage‑based services (the “Services”). QuantKey sells to business customers. Nothing in this Policy limits any non‑waivable rights you may have under applicable law.


2) Free Trials & Promotions

From time to time we may offer free trials or promotional pricing. Unless otherwise stated, trials convert to paid subscriptions at the end of the trial term and the first billing will occur automatically using your saved payment method unless you cancel before the trial ends (see §7).


3) What’s Billable

Subscription fees (plan tiers and enabled add‑ons).

Usage‑based fees (e.g., telephony, messaging, email sends, storage, numbers/domains), plus any third‑party pass‑through and regulatory surcharges.

Taxes and payment processor fees where applicable.


4) Refunds — Default Rule

All fees are non‑refundable and non‑creditable, including prepaid amounts, except as stated in §5 (Errors) or §6 (If an explicit Money‑Back Guarantee is offered) or where required by law.

Downgrades and cancellations take effect at the next renewal and do not generate pro‑rated refunds for the current term.


5) Billing Errors & Duplicate Charges

If you believe you were charged in error or twice for the same period:

Notify [email protected] within 30 days of the charge.

We’ll investigate and, if verified, issue a refund to the original payment method (or a service credit, at our option) typically within 5–10 business days of approval.


6) Money‑Back Guarantee (only when explicitly offered)

From time to time, an Order Form or promotion may state a “30‑Day Money‑Back Guarantee.” When that exact phrase appears in writing on the same checkout page or Order Form, these terms apply only to that specific purchase:

What’s covered: Base subscription fees for the first purchase by a new customer (one company/organization per lifetime).

What’s not covered: Usage‑based fees (telephony, email, numbers, domains, third‑party add‑ons), taxes, and any professional/implementation services.

How to claim: The customer’s account admin must email [email protected] or submit a request via the in‑app billing portal on or before day 30 counting from the subscription start date.

Condition of use: Account must be in good standing and not suspended for AUP violations. We may request you disable active numbers/domains and export your data before refund.

Effect: We will cancel the subscription and refund the covered subscription fees to the original payment method. Numbers/domains and all Services will be deactivated; data will be handled per §9.

Limits: One refund per company; not available to resellers or affiliates for their own accounts; not available on renewals, upgrades, add‑ons, or additional locations.

Conflicts: If this Guarantee is not shown on your checkout/Order Form, the default no‑refund rule applies.


7) How to Cancel (and When It Takes Effect)

In‑app: Sign in → Settings → Company Billing → manage plan → Cancel.

Stripe customer portal: Use the “Manage Billing” link from your billing emails to access the portal and Cancel.

Effective date: Cancellations take effect at the end of the current paid term. Service continues until then.

We cannot process cancellations by SMS or voicemail. If you lose access to the admin email, contact [email protected] for help regaining access.


8) Upgrades / Downgrades / Add‑ons

Upgrades/add‑ons: We may charge a pro‑rated amount for the remainder of the current term; new pricing applies at the next renewal.

Downgrades: Take effect at the next renewal; no pro‑rated credits or refunds for the current term.


9) Data Retention & Deletion After Cancellation

After your subscription ends, we retain account data for a limited period consistent with our Terms and Privacy Policy (generally up to 90 days) and then delete or anonymize it. Export what you need before cancellation; after deletion, data cannot be recovered.


10) Chargebacks & Disputes

Please contact [email protected] first to resolve any billing questions. Chargebacks (without first attempting to resolve the matter with us) may result in immediate suspension of Services and forfeiture of eligibility for courtesy credits or promotional guarantees.


11) Suspensions for AUP or Non‑Payment

Suspensions or terminations due to Acceptable Use Policy violations or non‑payment do not entitle you to refunds or credits. You remain responsible for charges incurred before suspension.


12) Changes to This Policy

We may update this Policy prospectively. Material changes will be announced via email or in‑app notice, and will not retroactively affect amounts already earned or owed before the change.
